The 2026 Lawn-Care Season is underway!,
I’ll also be posting this message on my website as the 2026 Lawn-Care Client Update,
As a grass-cut client from last season I thought it would be to go over scheduling, a few other things and potential options for this Lawn-Care Season,
we could start you off in Black Group, the one-time and monthly grass-cut group, and you could just let me know anytime you want me to come over and cut it,
the groups are mostly helpful for planning out potential payments for budgets and for how we make adjustments to the schedule with each client,
Black Group is good for planning out a one-time payment that’d be somewhere within a few months budgeted out or for planning a payment for each budgeted month individually,
After a few scheduled One-Time Grass-Cuts we could discuss just scheduling Monthly Grass-Cuts where I would schedule it and just check in with you a day before it’s scheduled,
Monthly Grass-Cuts are scheduled on the same day each month usually on Black Fridays,
all Fridays are Black Fridays,
such as the first Friday of each month,
if we decide to move to monthly scheduling after a grass-cut on the second Tuesday of the month we could schedule it for the second Tuesday of every month or pick any specific day to schedule monthly,
If it’s scheduled for the first Friday of the month then it’ll be scheduled for the first Friday of the next month or any other specific day you’d like to be scheduled monthly,
that day then would be reserved monthly even if because of rain delays or any reason we rescheduled the last monthly scheduled grass-cut making it so that there would be less than a month between cuts,
That way because I check in with you the day before if it needs more time to grow we could just reschedule for anytime during the month and keep the same scheduled monthly day for the months after,
I also message the day before as a reminder and to see if there’s any schedule changes,
so moving from One-Time to Monthly you’d still be in Black Group and not too much would change for how we schedule,
later on in the season we could discuss moving you to Red or Blue Group,
The Bi-Weekly grass-cut groups,
We could also start you off in Red or Blue Group and you could just let me know what day you want your first grass-cut to be,
I would schedule and plan to cut your grass on a specific day of the week every other week and then let you know if I think we should skip it for that week if there’s any reason I see for us to, otherwise we’d cut that scheduled day unless you decide for any reason that we should skip that week first and let me know before,
as always if I think we should skip it that week we could always discuss cutting it anyways after I check in with you because I’ll check in with you first before deciding to skip it or not,
sometimes I might check in with you the day before a scheduled bi-weekly grass-cut but not every time like with monthly Black Group clients,
In case of rescheduling or delays throughout the season the same day of the week will still be reserved for your grass-cut for the season if we end up scheduling a grass-cut for you the same week but on a different day as your reserved day for any reason,
if during the prior two weeks we rescheduled your previous grass-cut from Monday to Thursday before it was completed and after it was completed you requested that your next grass-cut be two weeks from then and we were able to schedule it in an open Job-Slot on Thursday two weeks from the Thursday it was completed you would not need to cancel the scheduled grass-cut on your reserved day Monday as it would be automatically rescheduled to Thursday as the next grass-cut scheduled,
After the grass-cut scheduled that Thursday is completed I would notify you that your next scheduled grass-cut would be on the Monday your reserved day is which would be 11 days away because it would be scheduled in less days than the usual 14 days between bi-weekly grass-cuts,
Keeping your reserved day as the default next scheduled grass-cut helps make sure we are able to complete the job you want completed and make effective and efficient adjustments as we maintain communication throughout the season adjusting as needed,
all jobs scheduled if unable to be completed once started the day they are scheduled are automatically scheduled for the following day once it is known and clients are notified accordingly,
Grass-Cut Jobs rescheduled due to weather before being started are usually rescheduled for the Friday of that week or during the next open Job-Slot otherwise can be specified to be scheduled any specific day,
as we adjust from there throughout the season the timing of scheduling could vary for clients who would be in the same Client Group but the way we adjust remains consistent and specific to each Client Group,
like Red Group clients having their bi-weekly grass-cut scheduled during Blue Week,
They’d still be Red Group,
Jobs also could be scheduled to be completed during specific times with the specific start and end times detailed during negotiations,
Specific times for Job completion could also be done so in a more simplified way by reserving specific Job-Slots during specific Time-Slots such as the AM or PM Job-Slot with the specific start times of the reserved Job-Slot specified as needing to be followed for completion of the Job unless otherwise negotiated with an example being specifying that the start time of 8am of the AM Job-Slot being when presence at the Job-Site is required to complete the job,
Otherwise the reservation of a Job-Slot for a specific day reserves that day for the job to be completed and will have the job completed during anytime throughout the day so during the AM or PM Time-Slot or in-between,
Specific communications could always be requested to take place during completion of any job such as any regarding payment timing and I’ll communicate any additional reserved days I’m able to reserve after scheduling a job for after the day a job is scheduled for to allow for a later start time on the day of a scheduled day so that there is more of a guarantee that jobs started will be able to be completed,
an example would be if I sent a message before the day of a scheduled job saying ‘Hey I was able to reserve the next two days for the scheduled job to make sure that anything not completed the scheduled day that I’ll be able to finish during those ones’,
I’d still be beginning work on completing the job that scheduled day but it might be later in the day than usual, otherwise I would notify in advance that we’d have to reschedule if I wasn’t going to start during the scheduled day,
Red and Blue group being Bi-Weekly usually means there being around two cuts monthly to plan for but could vary depending on adjustments,
The difference between red and blue group is usually just what week out of the first two weeks we have bi-weekly grass-cuts scheduled on that correspond to weeks alternating one week being Blue Week and the next being Red Week,
I’ll let you know what group you’re in after scheduling the next grass-cut after moving from Black Group to Red or Blue Group if we decide to do that throughout the season or if we start you off in Red or Blue Group,
Also as always you could decide to move back to Black Group anytime throughout the season without worrying about causing any scheduling issues if you decide you’d like to go back to scheduling jobs like that,
Clients with Weekly Grass-Cuts are both Red and Blue Groups,
and if you’d like to schedule any other jobs you’ll be included in that corresponding jobs client group as well as your current grass-cut client group,
any jobs scheduled that are scheduled farther out or if they’re bigger jobs I’ll check in with you as we get closer to the scheduled date usually a day or few before,
Prices remain the same for this season so any job we completed last season for you we’ll be able to complete with the same set-price,
as always during scheduling I like to go over the set-prices and have a record of them and the scheduled date of the jobs via text message so that info is easy to find for both us and the client,
if we schedule anything and set a price via phone call I’ll send a text verification message after,
also we could always discuss adding additional jobs to be completed along with any scheduled jobs with already set-prices on the same day concurrently and I would itemize them individually with set-prices and include an overall set-price for everything total to be completed in my verification message the same way it would read on a receipt after deciding on anything like that to keep things simple,
like last season I’ll never raise the price for a job to be completed once we set a price but could lower it if for whatever reason it makes sense to,
asking for me to do the job better for it to be completed or for a few other things to be included that make sense to not be their own jobs is always ok and usually helps me improve what I’m doing because either you or me would articulate something about the job better negotiating anything like that,
sometimes I’m able to do more for the client than I expected I’d be able to even if I might not be able to every time it still provides me with good data comparing how I completed different tasks that I could use to improve things overall,
also I could provide receipts if requested when paying with cash, usually digital is easier and could be sent via email or a handwritten receipt could be provided,
credit card and other online payments should automatically get receipts,
Change for cash payments can be made on a limited basis and exact cash payments are performed,
when able to and appropriate ask before making payment if change can be made, Otherwise additional time to make an exact cash payment can be provided if change cannot be made,
time of payment is negotiated for the completion of each job individually and usually payment is preferred after the job has been completed but payments prior to job completion are acceptable,
also usually payment is preferred to be received the day of or the day after the job is completed and expected to be able to be made within a week or two week time period unless otherwise negotiated,
arrangements could be made for payments after longer time periods but would need to be negotiated more before and more specifically in order to prevent any issues or problems, Verifications for any more detailed or specific structured payment plans would be included in a verification message otherwise the normal ‘payment received’ verification message would be the only payment verification sent to clients relating to that, after a payment is received a ‘payment received’ verification message is sent to the client usually via text messaging but could also be sent via email or just told to them via phone call or in person as it is recorded via writing for our records that payment has been received when it is received,
If paid with cash, a receipt is not requested, and a record of sale or something similar with requested information is later on wanted for any reason we’d be able to find and send the information as we keep records of transactions for taxes and will include any additional payments over the set-price confirmed to be decided by the client to pay on their own additionally, like tips, in the recorded payment received, Intended additional payments made by clients will not need to be justified and won’t be requested to be explained by us other than if they were intended or not to make sure people don’t accidentally give us money they didn’t intend to,
Like if someone gives us $100 instead of the set-price of $10 we will always check to make sure they intended to give us $90 of additional payment and won’t request explanation other than that,
The specific Set-Price is also recorded separately so if anything or any information like that is wanted later on it can be provided individually, separately, or all together so don’t hesitate to ask,
